Exhibitors Terms and Conditions

These Terms and Conditions ("Terms", "Terms and Conditions") govern your relationship with www.cairofleamarket.com website (the "Service") operated by WASABI for Marketing and Organizing Exhibitions ("us", "we", or "our").
Please read these Terms and Conditions carefully before using the Service.
Your access to and use of the Service is conditioned on your acceptance of and compliance with these Terms. These Terms apply to all visitors, users and others who access or use the Service.
By accessing or using the Service you agree to be bound by these Terms. If you disagree with any part of the terms then you may not access the Service.

This document sets out the Terms & Conditions (T&C’s) between Wasabi and an Exhibitor when registering for any event organized by Wasabi. Submission of a registration is regarded as affirmation of your acceptance of the event Terms & Conditions.
Please read the below document carefully.

1. Booking Terms:
1.1-Bookings do not automatically guarantee confirmation of a place at the event. Wasabi will confirm all bookings in writing.
1.2-Places cannot be reserved without Full Payment.
1.3-Wasabi reserves the right to refuse a booking if the category applied to is sold out or the products does not fit the event theme.
1.4-Late applications are subject to availability and price change.
1.5-Applicants that cannot be accepted immediately due to lack of space may be put on a waiting list. A decision on these applications shall be made no later than 48hrs before the opening of the event date. Rental space that falls free as a result of a cancellation will be allocated in the same manner.
1.6-Wasabi reserves the right to grant priority to members and Wasabi Loyalty Program Exhibitors.
1.7-Bookings are issued based on the rules and regulations of the venue. All such rules and regulations will apply, unless otherwise specified by the venue.
​2. Payment Terms:
2.1-Payment is due upon receipt of a confirmation email and must be settled within the time limit mentioned.
2.2-Late payments are permitted subject to availability and an additional charge may apply.
2.3-Payments on the event day are NOT ALLOWED except in exceptional circumstances. In which case, only cash payments may be acceptable and an additional charge of 10% of the registration fee is applicable. The amount MUST be paid to our on-site Wasabi Member upon arrival or the exhibitor won’t be allowed to setup.
2.4-Switching bookings to a different event date is not permitted.
2.5-It is possible to change the exhibitor information to allow for a replacement to attend in your place up to 24hrs prior to the event date, subject to Wasabi’s approval.
2.6-Wasabi may fix an admission price for a certain event, which applies to all visitors and all late exhibitors (arriving after check in hours)
3. Cancellation Terms:
3.1-100% refund will be issued if cancellation happened 14 days before the event date
3.2-50% refund will be issued if cancellation happened 10 days before the event date
3.3-No refund will be provided if cancellation happened 7 days or less before the event date
3.4-No refunds will be provided on failure to attend an event.
3.5-In some circumstances, you may be entitled to a full or partial refund. These refunds are at the discretion of Wasabi and subject to management approval.
3.6-Cancellation needs to be done in writing by email to the organizers (info@cairofleamarket..com). The date of the cancellation is determined by the date of the email.
3.7-In case of insufficient number of registrations, Wasabi retains the right to cancel or postpone an event.
3.8-In the unlikely occurrence that Wasabi cancels an event, exhibitors may be offered to attend an alternative event held by Wasabi subject to availability.
3.9-Exhibitors may request a booking transfer to another event, or an exhibitor substitution (provided by the exhibitor) in case of a booking cancellation. subject to our approval.
4. Setup & Dismantling Terms:
4.1- Spots are distributed in the exact order of payment date and/or product type.
4.2-Wasabi reserves the right to grant priority (in terms of the allocated spot) to a specific item/product if it complements the event theme.
4.3-Change of spots on the event day is strictly prohibited.
4.4-Exhibitors are obliged to comply with the exact dimensions of the rented space area. Any exhibitor taking up more than the space provided or paid for is subject to an immediate penalty at 10% of the booking fee. In case the penalty was not paid on the spot, our system will automatically add the extra charge to your next booking.
4.5-Passages and pathways must be kept completely free at all times. Wasabi is entitled to clear the paths and keep them clear (or arrange for this to be done) at the expense of the exhibitor.
4.6-If the exhibitor is building his/her own space or coming with his/her own booth/truck, he/she should stick to the exact dimensions mentioned on the application from, or a penalty fee will apply.
4.7-When leaving or dismantling the space, the exhibitor is obliged to restore the hired area to its original place. Any damage to the space or the venue will be the exhibitor’s responsibility.
5. Risk and Liability Terms:
5.1-Any Goods or services present or left at the venue are at the expense and risk of the Exhibitor. Wasabi is not responsible for the security or insurance of the goods.
5.2-Wasabi is not liable for any loss or damage suffered directly or indirectly by an Exhibitor.
6. Event Day Terms:
6.1- For marketing purposes, Wasabi can take photographs and/or make films recordings of the event, goods and services, and the persons present.
6.2-Attendees and sponsors are encouraged to capture their event experiences and post their own social content from the event.
6.3-Wasabi may hire professional service providers to document and display the event experience. Wasabi may also use social media to post and/or re-post photos and/or videos, taken throughout the event.
6.4-By attending the event, you acknowledge and agree that Wasabi may edit/use footage it captures at the event for marketing and promotional activities.
6.5-Wasabi reserves the right to immediately remove any goods or services displayed on the event day that do not match the right category or that are not allowed to be on display without owing any compensation for such removal.
7. Complaints:
7.1-If you wish to make a complaint, please notify one of our Wasabi Team members present on-site. Our team will take responsibility to find a speedy and satisfactory solution. In the event that you are not satisfied with the solution, please put this in writing to info@thewasabiexperience.com
8. Code of Conduct:
Wasabi reserves the right to immediately terminate a booking and ban an exhibitor from future events in case of the occurrence of any of the below:
8.1- Aggressive behavior or inappropriate language directed to any of our Wasabi Team members.
8.2-If Wasabi Team was notified that any of the exhibitors took part in or was spreading negative and/or false interpretations of the event, the organization, or inciting hostility / stirring trouble.
8.3-In case of termination due to breach of Code of Conduct, Wasabi does not owe the exhibitor any compensation and no refund will be issued.
8.4-We may terminate and suspend access to our services in case of any breach to the above T&C’s.
8.5-Once an exhibitor has taken part in one of our events, they are not permitted to circumvent us and contact the venue of said event to make further bookings directly through them without acquiring a written consent from us, or they will be banned from any and all future events.
8.6-Exhibitors should notify us in case a venue in which we have organized an event has contacted them in order to take part in a different event, or they will be banned from any and all future events.
9. General Terms:
9.1-Wasabi is entitled to change, amend, add, or remove any of the above T&C’s in its sole discretion and without prior notice.
9.2-If one or more condition should become invalid, the remaining conditions will continue to be valid and apply.
9.3-These T&C’s apply to all event participants, sponsors, exhibitors & their staff members, and attendees.

9. Tax Card & Commercial Registration regulations:
Based on the Egyptian Tax Authority regulations, all exhibitors selling retail, handcrafts and new products with a commercial intention need to have a Tax Card & a Commercial ID.
